Submission Speaker Instructions IEEE Policy Final Manuscripts PDF Format

Key Requirements

1IEEE Template (A4)
4–7 pages including figures, tables, and references. Two-column IEEE format.
2PDF Format
IEEE Xplore-compatible PDF only. All fonts must be embedded and subsetted.
3Author Info in EDAS
Ensure title, author names, and affiliations in PDF match EDAS exactly. Authors cannot be added after review.
4Originality
Original, unpublished work only. Similarity index ≤ 20% (Turnitin). No double submission.
5English Language
All manuscripts must be in English. Non-native authors are encouraged to seek proofreading.

EDAS Submission Steps

1Create EDAS Account
Register or log in at edas.info. Verify your name and affiliation.
2Register Paper
Submit paper info at edas.info/newPaper.php?c=31250. Add ALL authors including affiliation and country.
3Upload PDF
Upload IEEE Xplore-compatible PDF (max 7 pages). File size limit: 20 MB.
4PDF eXpress Validation
For final submission, validate via IEEE PDF eXpress — Conference ID: 67007x.
5Register for Conference
At least one author must complete full registration before uploading the final paper.

Speaker Instructions

Live Presentation

Duration
15 minutes total — 10 min presentation + 5 min Q&A.
Technical Setup
Laptops provided in each room. Bring slides on USB with multiple backup copies.
Compatibility
Slides must be Windows-compatible. Use standard fonts to avoid formatting issues.
Check-In
Arrive at your room at least 15 minutes before your session for setup and testing.
Language
All presentations must be in English.

Virtual Presentation

Platform
Zoom. Meeting links and instructions will be sent prior to the conference.
Video Duration
Max 10 minutes. Must include introduction, methodology, findings, and conclusion.
Visual Requirements
Show both slides and presenter on screen. Presenter must be a listed author.
File Specs
MP4 format, max 200 MB. Clear audio and video quality required.
Upload
Submit via EDAS at least 48 hours before your session. Registration must be complete first.
Recording Tools
Zoom recording, PowerPoint screen record, or any software capturing screen + webcam.
Important Requirements
  • All presenters MUST register for the conference.
  • At least one author per accepted paper must complete registration before uploading the final paper.
  • Presentation files must be submitted before the conference start date.
  • Contact the program committee for special technical requirements.

IEEE Policy

Presentation Requirement▼

The IEEE reserves the right to exclude a paper from IEEE Xplore if it is not presented at the conference. Papers must be presented by an author unless the TPC Chair grants prior permission for a substitute.

Plagiarism & Double Submission▼

Papers are reviewed on the basis that they contain no plagiarized material and are not under review elsewhere simultaneously. IEEE will take action against any author who violates these policies.

Registration & Publication▼

To be published in IEEE SOFTT 2026 Proceedings and eligible for IEEE Xplore, an author of each accepted paper must register at the full rate. One full registration covers one paper. Non-refundable registration fees must be paid before uploading the final paper.

Author List Policy▼

To avoid conflicts of interest during review, the author list cannot be changed after submission. Changes are only permitted before the submission deadline. Add all authors during initial EDAS registration.

Final Manuscript Checklist

1Revise per Reviewer Comments
Read all reviewer feedback carefully and reflect improvements in your final paper.
2Language Check
English only. Have a native speaker or proofreading service review if needed. Poor English may lead to rejection.
3Plagiarism ≤ 20%
All manuscripts are checked via Turnitin. Submissions above 20% similarity will be returned or rejected.
4Format: A4, 4–7 Pages
IEEE two-column, 10pt font. No page numbers, headers, or footers. Remove all hyperlinks.
5Embed All Fonts
Especially for papers from Asia and Europe. Font embedding is required for IEEE Xplore compliance.
6PDF eXpress Validation
Validate or convert via IEEE PDF eXpress (ID: 67007x) before final upload.

IEEE PDF Xplore Requirements

Each PDF for IEEE Xplore® must meet all of these criteria:

  • PDF 1.4 (Acrobat 5) or later, not Acrobat 9
  • Created with a PDF distiller (no scanning)
  • All fonts embedded and subsetted
  • No password or security settings
  • No bookmarks, crop marks, or date/time stamps
  • No PDF attachments or PDF Packages
  • File size ≤ 20 MB

Conference ID: 67007x · Your email address · Create a password.
3Validate or Convert
Upload your PDF to check compliance or convert a .doc/.docx to IEEE Xplore-compatible PDF.

A confirmation email will be sent after account setup. Previous PDF eXpress users may use their existing password with the new Conference ID.
