Paper length should be 4-7 (seven) pages including figures, tables, references, and appendices. 🎤 LIVE PRESENTATION FORMAT

Duration & Structure
Each presentation session at SOFTT 2025 is allocated a comprehensive 15 minute time slot, which we strongly recommend dividing into 10 minutes for your actual presentation delivery and 5 minutes for interactive questions and answers with the audience. This time allocation has been carefully designed to ensure adequate presentation time while allowing meaningful engagement with conference attendees who may have questions about your research methodology, findings, or implications.

Technical Setup
Conference organizers will provide dedicated laptops in each presentation room specifically for speaker use, ensuring consistent technical standards across all sessions. You should bring your presentation files on a USB flash drive, and our experienced technical support team will be readily available to assist you in transferring and loading your files onto the conference system. We strongly advise preparing multiple backup copies of your presentation on different storage devices, as this precautionary measure helps avoid potential technical difficulties that could disrupt your presentation schedule.

System Compatibility
To ensure seamless presentation delivery, your slides must be fully compatible with Windows operating systems, which are standard across all conference laptops. Additionally, it is crucial to use commonly available fonts in your presentation design, as this prevents formatting inconsistencies, text display errors, or layout problems that might occur when your presentation is loaded onto different systems during the conference.

Multimedia Content
If your presentation incorporates multimedia elements such as video demonstrations, audio clips, or interactive media files, it is absolutely essential to organize all related files within a single folder structure. This organizational approach prevents broken links, missing media errors, or content that fails to display properly during your live presentation, ensuring that your multimedia elements enhance rather than detract from your research presentation.

Check in Protocol
All presenters are required to arrive at their designated presentation room no less than 15 minutes before their scheduled session begins. This mandatory early arrival time provides sufficient opportunity for comprehensive technical setup, equipment testing, audio level verification, and resolution of any unexpected technical issues that might arise, ensuring your presentation proceeds smoothly without delays that could impact subsequent sessions.

Language Standard
All oral presentations throughout SOFTT 2025 must be conducted exclusively in English, which serves as the official conference language to ensure accessibility and understanding among our diverse international audience of researchers, academics, and industry professionals from various linguistic backgrounds.

Overview
SOFTT 2025 recognizes the importance of global accessibility and therefore offers comprehensive remote participation opportunities through high quality pre recorded video submissions managed via the EDAS platform. This virtual presentation option has been specifically designed to enable researchers and academics from around the world to share their valuable research findings and contribute meaningfully to the conference proceedings without the constraints of physical travel, making the conference truly inclusive for international participants facing travel limitations or other circumstances that prevent in person attendance.

Time Constraints
Virtual presentation videos must adhere to a strict maximum duration of 10 minutes total, which should be carefully planned to include your research introduction, methodology explanation, key findings presentation, and concluding remarks. This time limit has been established to maintain consistency with live presentation formats while ensuring that online attendees receive comprehensive yet focused content that effectively communicates your research contributions without overwhelming the audience with excessive detail.

Visual Requirements
Your video recording must prominently display both your presentation slides and a clear, professional view of yourself as the presenter throughout the duration of the video. It is absolutely mandatory that the person appearing in the video be one of the officially listed authors on the submitted paper, as this requirement ensures authenticity and maintains the academic integrity standards expected at professional conferences. The visual composition should be professional and well-lit to ensure optimal viewing quality for online conference participants.

File Parameters
All video submissions must be provided exclusively in MP4 format to ensure universal compatibility across different viewing platforms and devices used by conference attendees. The maximum allowable file size is strictly limited to 200MB, which requires careful attention to encoding settings and compression quality to maintain excellent visual and audio clarity while staying within the specified size constraints. Poor quality recordings with unclear audio or visual elements will not be accepted for conference inclusion.

Recording Tools
Presenters have flexibility in choosing their preferred recording methodology and may utilize various professional software applications including Zoom's comprehensive recording functionality, Microsoft PowerPoint's built-in presentation recording features, or other specialized screen capture software capable of simultaneously recording both computer screen content and webcam video feed. The chosen recording method should produce high-quality output that clearly captures both your slide content and your personal presentation delivery.

Upload Process & Quality Control
Video presentations are submitted directly through the EDAS system exclusively by the paper authors themselves, maintaining strict control over submission authenticity. Before video upload becomes available, authors must successfully complete both the final paper version submission and full conference registration payment processing. Session organizers will conduct comprehensive quality reviews of all submitted video presentations to evaluate content appropriateness, technical quality standards, and alignment with the accepted manuscript. Videos that fail to meet quality standards, feature non author presenters, or contain content that significantly deviates from the accepted research paper will be rejected and excluded from the conference proceedings.

The IEEE 2025 7th SOFTT PAPERS SUBMISSION GUIDELINES

Prospective authors are encouraged to submit full papers for review. Only original papers that have not been published or submitted for publication elsewhere will be considered.

Technical Papers must be submitted via the EDAS Paper Processing System.

During the initial paper submission process via EDAS, the authors are required to make sure the pdf file and EDAS registration page of a paper have the same list of authors and the paper title. Be certain to add all authors in EDAS during the submission process. Failure to comply with this rule and your paper may be withdrawn from the review process. Once reviewed the listing of authors connected to the paper can NOT be changed in the final manuscript.

The format for the manuscript must satisfy the following requirements:

  • Manuscript must be in English
  • The manuscript must follow IEEE two-column format with single-spaced, ten-point font in the text. The maximum manuscript length is 7 (seven) pages. All figures, tables, references, etc. are included in the page limit.
  • Papers must be submitted in Portable Document Format (PDF) format.
  • Authors MUST submit their papers electronically using EDAS. The submission process involves the following three steps:

    Step One: Creation of a personal account on EDAS (if the author does not already have one) https://edas.info/doc/
    Please makes sure the data of tittle, name, and affiliation is correct for all authors. We will use your data in EDAS for name tag, program book, proceeding, etc.

    Note: Be certain to provide information for ALL AUTHORS including affiliation and country when you register the manuscript. Authors cannot be added after the paper is reviewed.

    Step Three: Upload of the papers in pdf format. The maximum length of final manuscript is 7 (seven) pages.
IMPORTANT IEEE POLICY

The IEEE reserves the right to exclude a paper from distribution after the conference (including its removal from IEEE Xplore) if the paper is not presented at the conference.

Papers are reviewed on the basis that they do not contain plagiarized material and have not been submitted to any other conferences/workshops/symposia at the same time (double submission). These matters are taken very seriously and the IEEE Communications society will take action against any author who engages in either practice. Follow these links to learn more:

PLEASE NOTE: To be published in the IEEE SOFTT 2025 Conference Proceedings and to be eligible for publication in IEEE Xplore®, an author of an accepted paper is required to register for the conference at the full (member or non-member) rate and the paper must be presented by an author of that paper at the conference unless the TPC Chair grants permission for a substitute presenter arranged in advance of the event and who is qualified both to present and answer questions. Non-refundable registration fees must be paid prior to uploading the final IEEE formatted, publication-ready version of the paper. For an author with multiple accepted papers, one full registration is valid for 1 paper. Accepted papers will be submitted for inclusion into IEEE Xplore subject to meeting IEEE Xplore's scope and quality requirements.

PREPARING FINAL MANUSCRIPTS

Please read carefully all reviewers comment and reflect them to improve your Final papers.

Language

English is the working language of the conference. If English is not your native language, please have your papers read by a native English speaker, or seek online services of proof reading to improve the language of your papers. Please note that your paper is subject to further review and it may be rejected if it is deemed that English of your paper is not acceptable.

Originality and Plagiarism Check

All submitted manuscripts will be subjected to a rigorous plagiarism assessment. Authors must ensure that their submissions maintain a similarity index not exceeding 20% when evaluated through Turnitin. Manuscripts exceeding this threshold will be returned to authors for revision or may be rejected. This requirement underscores our commitment to academic integrity and the dissemination of original research contributions.

Paper preparation (doc/docx format) and template

Papers must be written on A4-format page according to the IEEE template Manuscripts of minimum four (4) pages and up to seven (7) pages in length. Submissions exceeding seven (7) pages will not be accepted.

Papers should NOT have:
  • Page numbers
  • Headers
  • Footers

Pdf IEEEXplore Format

Conference papers are to be submitted electronically (.pdf form), with file size limited to 20 MB. Accepted papers will be submitted for inclusion into IEEE Xplore subject to meeting IEEE Xplore's scope and quality requirements.

IEEE is very strict about the requirements for converting application files or PostScript files to full-text PDF for inclusion in IEEE Xplore®.

The most important issue that every author shall pay attention to is to make sure that all the fonts used in your papers are EMBEDDED and SUBSETTED, especially for papers from Asia and Europe. Failure to embed and subset fonts is the biggest obstacle to PDF compliance with IEEE Xplore® and please make sure that your PDF files are compliant with IEEE Xplore®. Papers failing to meet the IEEE Xplore® PDF requirements may be rejected.

MINIMUM IEEE PDF REQUIREMENTS

Each PDF for IEEE Xplore® must have all of these characteristics:
  • Be PDF 1.4 (Acrobat 5) or later but not Acrobat 9.
  • Must be created with a PDF distiller. Scanning is not permitted (See Section 5).
  • Embeds or subsets all fonts. Doing so helps makes sure that the mathematics appears as intended and improves text searching in the PDF (Section 3). Please note some TrueType fonts have a setting added by the font designer that prevents the font from being embedded and should be avoided.
  • Does not have a password or other security settings.
  • Does not contain any bookmarks or links. Links are supported now only by using a summary.txt, readme file, and a packing list. They appear in the IEEE Xplore® TOC as multimedia.
  • Does not contain crop marks, registration marks, date stamp, time stamp, or any other mark that does not appear in the official version of the publication.
  • Does not contain any PostScript that overrides the settings file.
  • Does not use PDF attachments.
  • Does not consist of a PDF Package or Merged PDF, a PDF 1.7 (Acrobat 8) feature.

Please note that all final papers may be converted using PDFexpress from the following link, in accordance with the IEEE PDF specification. Please go to the IEEE PDF eXpress site at https://ieee-pdf-express.org/ or click the following button to register at IEEE PDF eXpress. Use IEEE PDF eXpress to check your PDF file or to convert a .doc/docx Paper into an IEEE Xplore compatible PDF file.

First-time users should do the following:

  • 1. Select the New Users – Click Here link.

    • a password

  • 3. Continue to enter information as prompted.
  • An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup. Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.
